Our Policies
At Rosebud Collective, we strive to make your event planning experience seamless and stress-free. Below is a summary of our policies to help you understand our process and ensure a smooth collaboration.
Deposit Policy
To secure your booking, a deposit is required at the time of reservation:
- 25% for Rentals: This applies to all standard rental items, including tables, chairs, and backdrops.
- 50% for Custom Orders: Due to the unique nature of these creations, a higher deposit is required.
Remaining Balance:
- Rentals: The remaining balance must be paid no later than 14 days before the event date. For bookings made within 14 days of the event, the full amount is due at the time of booking.
- Custom Orders: Full payment is required before or at the time of pickup. Ownership of custom items transfers only after payment is complete.
Refunds:
- Deposits for rentals are refundable for cancellations made 60+ days before the event. Deposits for cancellations made 30–59 days before the event may be transferred to a future booking. No refunds or transfers are available less than 30 days before the event.
- Deposits for custom orders are non-refundable at any time due to the bespoke nature of these pieces.
Important: Failure to pay the remaining balance by the due date may result in cancellation without refund.
Cancellation Policy
We strive to offer fair and transparent cancellation policies while protecting our preparation and material costs.
For Rentals:
- 60+ Days Before the Event: Full refund of the deposit.
- 30–59 Days Before the Event: No refund, but the deposit may be transferred to a future booking.
- Less Than 30 Days Before the Event: No refunds or transfers are available.
For Custom Orders:
- Deposits for custom orders are strictly non-refundable, regardless of the time of cancellation.
Grace Period for Last-Minute Bookings:
For bookings made within 60 days of the event, clients have a 24-hour grace period to cancel and receive a full refund of their deposit. To qualify, cancellations must be communicated to Rosebud Collective within this 24-hour window.
Emergency Exceptions:
Refunds or transfer exceptions for rentals may be granted in the case of a documented emergency or an Act of God. Please contact us promptly to discuss your situation. These exceptions do not apply to custom orders.
Custom Order Policy
Custom orders are classified as purchases and are not part of the rental inventory. These include items designed specifically for you based on unique requests or significant alterations to existing designs.
- Custom Design Confirmation: Any item deemed a custom order will require client approval during the design stage, and a separate purchase order agreement will be issued.
- Ownership Transfer: Ownership of custom items transfers only after full payment is received.
- Pickup: Custom orders are available for pickup only. Delivery is not standard but may be considered for an additional fee upon request.
Delivery & Setup Policy
- Rentals: Delivery fees are calculated based on distance from Zip Code 15321:
- 0–10 miles: $25
- 10–25 miles: $50
- 25–50 miles: $100
Pickup may be available for smaller orders or under special circumstances; please contact us to discuss options.
Custom Orders: Custom purchases are pickup-only unless prior arrangements are made. Delivery fees for custom pieces are assessed on a case-by-case basis.
Setup and Teardown: Available as an add-on service for rental items. Fees vary based on the scope of work and must be arranged in advance.
Late Return Policy
Rental items must be returned by the agreed-upon time to avoid late fees.
- Late Fee: A fee of 25% of the item’s rental cost per day will be charged for late returns. This ensures products are available for other clients.
- Exceptions: Exceptions may be made at Rosebud Collective’s discretion, but advance notice is required to consider special circumstances.
Damage, Loss, and Replacement Policy
All rental items must be returned in the same condition as received.
- Responsibility: Clients are responsible for the cost of repair or replacement in the event of damage, loss, or theft.
- Notification and Charges: Clients will be notified of any charges before they are applied, and an itemized invoice will be provided.
Cleaning Policy
All rental items must be returned in reasonable condition.
Reasonable Condition:
- Linens: Should be free of excessive staining or tears.
- Chairs, Tables and Backdrops: Must not have visible damage or heavy soiling.
Cleaning Fee: Cleaning fees are not included in the rental price and will only apply if items are returned in a condition outside typical wear and tear. The fee will vary based on the level of cleaning required, up to the cost of full replacement.
Normal Wear and Tear: This does not incur additional fees.
Weather/Outdoor Event Policy
Rosebud Collective is not responsible for weather-related damages to rental items used for outdoor events.
- Client Responsibility: Clients must ensure proper protection for all rental items during inclement weather.
- Damage Costs: Weather-related damages will be charged at the current replacement value.
Photography and Marketing Consent
By using our services, you consent to Rosebud Collective photographing our products during your event for marketing purposes.
- Exemptions: Clients may request exclusions for private or confidential events by notifying us in advance.
Liability Policy:
Rosebud Collective is not liable for any injuries, damages, or accidents that occur during the use or misuse of our rental items or custom products.
Client Responsibility:
- Upon delivery, clients must inspect all rental items and notify Rosebud Collective immediately of any concerns.
- Once delivery and/or setup are complete, the client assumes full responsibility for the care, safe use, and return of all items until pickup or return.
This includes, but is not limited to:
- Overloading tables or chairs beyond their intended capacity.
- Improper use of backdrops, arches, or other items.
- Movement or alteration of items after setup is completed.
Setup by Rosebud Collective:
- While we take every precaution to arrange items properly and securely, the client assumes all risk once delivery and setup are complete.
