At Rosebud Collective, we strive to make your event planning experience seamless and stress-free. Below is a summary of our policies to help you understand our process and ensure a smooth collaboration.
Deposit & Payment Policy
To secure your booking, a 50% non-refundable deposit is required at the time of reservation. This applies to all products, including:
– Standard rental items (tables, chairs, backdrops, etc.)
– Custom pieces
– Balloon installations
Remaining Balance:
The remaining 50% is due no later than 14 days prior to your event. For bookings made within 14 days of the event, full payment is due at the time of booking.
Custom Orders:
Ownership of custom items transfers only after full payment is received. These are available for pickup unless other arrangements are made.
Refund & Cancellation Policy
We understand plans can change and strive to offer fairness while protecting our prep and material costs.
Standard Refunds:
– The initial 50% deposit is non-refundable under all circumstances.
– If a cancellation occurs before the final payment is due, the remaining 50% balance will not be invoiced.
– If the full balance has already been paid (within two weeks of the event), the second 50% may be eligible for a refund, provided the cancellation is communicated prior to the event date.
Grace Period for Last-Minute Bookings:
For bookings made within 60 days of the event, clients have a 24-hour grace period to cancel and receive a full refund of their deposit.
Emergency Exceptions:
Exceptions may be granted for documented emergencies or Acts of God. These do not apply to custom orders.
Custom Order Policy
Custom orders are classified as purchases and are not part of the rental inventory.
– Design Confirmation: Client approval is required during the design stage.
– Ownership Transfer: Occurs only after full payment is received.
– Pickup: Available for pickup only unless prior delivery arrangements are made. Additional fees may apply.
Delivery & Setup Policy
Rentals: Delivery fees are based on distance from Zip Code 15321:
– 0-10 miles: $25
– 10-25 miles: $50
– 25-50 miles: $100
Pickup may be available for smaller orders or under special circumstances.
Setup and Teardown: Available as an add-on service. Fees vary based on the scope of work and must be arranged in advance.
Late Return Policy
Rental items must be returned by the agreed-upon time to avoid late fees.
– Late Fee: 25% of the item’s rental cost per day will be charged for late returns.
– Exceptions: May be made at Rosebud Collective’s discretion with advance notice.
Damage, Loss, and Replacement Policy
Clients are responsible for all rental items while in their care.
– Responsibility: Cost of repair or replacement will be charged in the event of damage, loss, or theft.
– Notice: Clients will be notified before any charges are applied and will receive an itemized invoice.
Cleaning Policy
All rental items must be returned in reasonable condition.
– Linens: Free of excessive staining or tears.
– Furniture & Backdrops: No visible damage or heavy soiling.
Cleaning Fee: May apply if items are returned in unacceptable condition. Fees vary based on the level of cleaning required.
Normal Wear and Tear: Does not incur additional fees.
Weather/Outdoor Event Policy
Rosebud Collective is not responsible for weather-related damages to items used outdoors.
– Client Responsibility: Must ensure protection of rental items during inclement weather.
– Damage Costs: Weather-related damages will be charged at current replacement value.
Photography and Marketing Consent
By using our services, you consent to Rosebud Collective photographing products at your event for marketing purposes.
– Exemptions: May be requested for private or confidential events with advance notice.
Liability Policy
Rosebud Collective is not liable for injuries, damages, or accidents related to use or misuse of rental items or custom products.
Client Responsibility
Upon delivery, clients must inspect all items and notify Rosebud Collective immediately of any issues. Once delivery and/or setup are complete, clients assume full responsibility until pickup or return.
– Not overloading furniture
– Using items as intended
– Avoiding movement or alteration after setup
While we take care to set up items safely and securely, the client assumes all risk after setup is completed.
